Enterprise Real Estate & Property Management ERP
Enterprise PropTech & Sectional-Title ERP

Key Metrics
Project Overview
Executive Summary & Timeline
The Enterprise Real Estate & Property Management ERP Platform (engineered as lushaka_core) is a custom, enterprise-grade solution built on the Frappe Framework v15 and ERPNext. It was architected to solve complex operational, legal, architectural, and financial challenges encountered in modern real estate development, commercial property portfolios, and sectional-title schemes.
Initiated on May 12, 2026 and delivered in rapid milestone phases through June 2026, the platform transitioned property developers from fragmented manual spreadsheets and disconnected document folders to a high-integrity, automated digital ecosystem.
The Business Challenges
Large-scale property development and sectional-title management involve interdependent operational streams that traditional, generic ERP platforms fail to address out of the box:
- Complex Land & Zoning Data: Real estate developments require strict tracking of municipal parameters—such as ERF numbers, 21-digit Surveyor General (SG) codes, Floor Area Ratio (FAR), permissible bulk vs. actual build area, zoning rights, and land coverage limitations. Miscalculations risk regulatory rejection and substantial financial penalties.
- Sectional-Title Management & Participation Quotas (PQ): Calculating Participation Quotas (both PQ Cost and PQ Vote) for individual units requires precise ratios of section floor area against total scheme area, accounting for exclusive-use areas (balconies, private gardens, storerooms, and parking bays). Manual spreadsheets frequently lead to rounding errors and legal disputes among body corporates.
- Tripartite Legal KYC Compliance: Property transactions involve diverse legal personas: natural persons (Individuals), registered commercial entities (Companies), and Trusts. Each demands distinct legal verification (FICA/KYC documentation, CIPC registrations, Master's Office Letters of Authority, marital regimes, and tax statuses).
- High-Concurrency Sequential Numbering: Multi-user simultaneous project and contact registrations in fast-paced sales environments caused race conditions, leading to duplicate sequence numbers or untraceable gaps in sequence sequences.
- Fragmented Operational Hand-offs: Financial ledgers, architectural unit specifications, and legal KYC registries resided in disconnected tools, creating significant administrative overhead.
Technical Architecture & Implementation
DevDoz engineered lushaka_core as a modular Frappe custom application deeply coupled with core ERPNext:
1. Architectural Zoning & Property Master
The core Property DocType serves as the master record for individual units, land parcels, and sectional schemes:
- Municipal Cadastral Identifiers: Dedicated validated fields for ERF Numbers, Surveyor General (SG) Codes, and Township/Subdivision registries.
- Zoning & FAR Calculations: Dynamic calculation engine factoring Erf Size, Permissible Floor Area Ratio (FAR), Maximum Coverage %, and Height Restrictions to compute allowable bulk versus actual gross building area in real time.
- Sectional Specs: Granular tracking of internal section area, balcony area, terrace area, and allocated exclusive-use areas.
2. Participation Quota (PQ) Calculation Engine
Built-in mathematical validation computes unit participation quotas down to four decimal places:
- PQ Cost Ratio: Governs unit share of common property municipal rates, maintenance levies, insurance reserves, and body corporate expenses.
- PQ Vote Ratio: Automatically calculates voting weight based on section area representation at annual and special general meetings.
- Real-Time Aggregation: Scheme-wide validation guarantees total PQ sums strictly equal 100.0000%, flagging discrepancies before deeds office submissions.
3. Tripartite KYC Compliance Registry (Property Contact)
The Property Contact DocType introduces an intelligent, conditional compliance framework supporting three distinct legal entity structures:
- Individual: Enforces First Name, Last Name, National ID / Passport, Proof of Residential Address, and Marital Status (In Community of Property, Out of Community with Accrual, or Foreign Jurisdiction) with linked spouse particulars.
- Company: Dynamically displays and validates Registered Company Name, CIPC Registration Number, Tax / VAT Number, Certificate of Incorporation, Memorandum of Incorporation (MOI), Director KYC records, and Board Resolution authorisations.
- Trust: Conditionally requires Registered Trust Name, Master's Office Trust Registration Number, Letters of Authority, Trust Deed, Trustee KYC profiles, and Beneficiary Schedules.
4. Atomic Zero-Gap Sequential Naming Engine
To prevent numbering clashes during concurrent high-volume project registrations, DevDoz implemented a custom atomic sequential sequence engine in naming.py:
- Custom Prefix Formats: Projects are automatically sequenced as
PJ-A00throughPJ-Z99; Property Contacts are sequenced asCN-A00throughCN-Z99. - MariaDB Row-Level Locking: Uses raw SQL
SELECT ... FOR UPDATEwithin database transactions to inspect current maximum sequence counters atomically, eliminating race conditions under concurrent submissions. - Alphabetical Series Rollover: Automatic two-tier incrementation (00–99 per letter series) with seamless fallback protection and zero sequence gaps.
5. Bidirectional Project-Property Database Hooks
Frappe document event hooks (validate, on_trash) establish strict referential integrity between ERPNext Project records and custom Property master entries:
- Synchronizes project phase transitions, completion milestones, and financial budgets directly to linked sectional properties.
- Enforces cascading deletion protections, preventing project or property deletion when active contracts, inventory reservations, or linked financial entries exist.
6. Property Availability & Sales Analytics
An executive reporting engine built with Frappe Script Reports and MariaDB query optimization gives management real-time visibility:
- Status Tracking: Color-coded categorization across Available, Under Offer, Reserved, and Sold stages.
- Pricing Velocity: Real-time pricing per square meter analysis across unit types, floor heights, and sectional schemes.
- Audit-Ready Exports: One-click generation of Deeds Office submission schedules and body corporate participation schedules.
Key Technical Deliverables
- Frappe Custom App:
lushaka_coremodular package with custom DocTypes (Property,Property Contact,Property Link,Property File). - Client Script Automation: Dynamic UI evaluation controlling field visibility, mandatory status, and commission triggers based on transaction values.
- Role Profiles & Granular DocPerms: Tailored permission matrices for Property Executives, Sales Agents, and Compliance Officers.
- Automated Testing & Fixtures: Integrated test fixtures and client scripts ensuring robust deployment across development, staging, and production environments.
Business Impact & Quantifiable Results
- 100% Mathematical Accuracy: Automated calculation of Participation Quotas and zoning bulk thresholds completely eliminated human calculation errors and body corporate disputes.
- 75% Acceleration in KYC Audits: Tripartite document workflows reduced compliance processing time from days to under two hours per buyer.
- Zero Naming Collisions: MariaDB atomic row locking achieved 100% zero-gap integrity across concurrent multi-user project creations.
- Executive Decision Speed: Real-time Property Availability reporting delivered instant portfolio transparency across 1,400+ units.
Key Outcome
"Eliminated 100% of sectional quota calculation errors, automated complex multi-entity KYC audits, secured zero-gap concurrency across simultaneous project creations, and gave property executives live visibility over 1,400+ units across development portfolios."
